## How to work with Publications

Publications are useful for creating lists of bibliographic references and [citations in various formats](/resource/citation-styles-supported-harvardsites-drupal "Citation styles supported in HarvardSites Drupal"). These instructions are for manually creating a reference.

### Step 1: Create a reference

1. Use the platform menu to navigate to **Content &gt; Publications &gt; Publications &gt; Add Reference**.
2. Select a reference type from the list of reference types. This selection determines which fields display for the reference content.

### Step 2: Add reference title and link

1. Enter the title of the reference in the **Title** field.
2. To link directly to an external URL rather than a reference detail page, enter the full URL for the reference in the **Link Citation Directly To** field. Note that a reference details page will not display on your website if you opt to link directly to an external URL from the reference list.

### Step 3: Add reference details

Complete the relevant fields for the reference type, using the fields provided under the reference tabs. The following are common fields across reference types.

1. Select the **Authors** tab.
    1. For authors already included as [**Contributors**](/resource/internal-and-external-authors "Internal and External Authors"), type the first few letters of their name in the autocomplete field and then select from the dropdown list of matching names. For new authors, enter their full name to add them to both the reference and the **Contributors** list.
    2. Select a category from the **Category** menu.
    3. Select a role from the **Role** menu.
    4. Use the **Move** control to drag and reorder authors and the **Remove** button to remove an author.
2. Select the **Abstract** tab.
    1. Enter and format the reference abstract in the **Abstract** text area.
3. Select the **Publication** tab.
    1. Select a status from the **Publication status** menu.
    2. Use the arrow controls or enter a value in the **Year of Publication** input.
    3. Enter the title that corresponds to the reference type, for example, **Journal Title, Conference Name,** or **Series Title**.
    4. Provide additional details, for example, volume and issue numbers, publication date, and other publication details.
4. Enter the publisher name and other details included under the **Publisher** tab (for some reference types).
5. Provide identifying details corresponding to the reference type, for example, ISSN, ISBN, and PubMed reference numbers, under the **Identifiers** tab (for some reference types).
6. Select the **Locators** tab.
    1. Enter the reference URL in the **URL** field.
    2. Enter the reference DOI in the **DOI** field.
7. Provide any additional details in the tabs included for the reference type.

### Step 4: Add reference content

1. Add content, images, links, quotes, and more in the **Full Text** area (see [Text Editor](/resource/text-editor "Text Editor") for details about using the toolbar and text input area). Note that content provided in the **Full Text** area only displays on the reference details page.
2. Select the **Add link** button in the **Additional links** section to provide a link to a URL or file that displays on both the reference list and the reference details page.
    1. Enter a short description of linked reference in the **Link Text** field, for example, the reference title.
    2. Select an optional icon to display before the **Link Text** from the **Link Icon** menu.
    3. Select an option from the **Link Type** menu. For **Link to URL**, enter the URL. For **File reference**, select the **Add media** button in the **File** section. You can select a file from the library or upload a new file. Supported file formats are: TXT, DOC, DOCX, XLS, XLSX, CSV, PDF, and RTF. Make sure any documents uploaded to your site are accessible (see [document accessibility](https://accessibility.huit.harvard.edu/accessible-documents)).
    4. Select **Save** to save the additional link. You can add up to three (3) links.
3. Add additional components to the reference details page by selecting the **Choose component** button in the **Additional Content** section (see [Adding a component](/adding-component "Adding a component") for instructions on how to add a component). Components added to this section will display in the **Bottom Region** on the reference details page.

### Step 5: Configure reference settings

1. We recommend assigning taxonomy terms to references, to help filter reference lists and search results (see [Taxonomy best practices](/resource/taxonomy-best-practices "Taxonomy Best Practices") and [Managing taxonomies](/managing-taxonomies "Managing taxonomies") for guidance on creating and using taxonomies).
2. Provide a **Publication Image** that identifies the publication, such as a book or journal cover.
3. You have the option to add a file attachment to display on the reference details page. Supported file formats are: TXT, DOC, DOCX, XLS, XLSX, CSV, PDF, and RTF. Make sure any documents uploaded to your site are accessible (see [document accessibility](https://accessibility.huit.harvard.edu/accessible-documents)).
4. The first time you save the reference, we recommend you save as a **Draft** so that you can preview the reference and its links before publishing it to your site (see [Publish Status](/resource/publish-status "Publish Status") for details about different publication statuses).
