## How to manage taxonomy vocabularies and terms

Note that **Site Administrators** can access taxonomy management features.

Before you create structures for content, plan your content strategy and taxonomy structures (see [Taxonomy Best Practices](/resource/taxonomy-best-practices "Taxonomy Best Practices") for guidance on creating and using taxonomies).

### Step 1: Add a vocabulary

1. Navigate to **Taxonomy** to see a list of vocabularies.
2. From the **Taxonomy** list page, select the **Add vocabulary** button.
3. Enter the following details for the new taxonomy vocabulary: 
    1. **Name:** Provide a name for your new taxonomy vocabulary (for example, “Research Topics”).
    2. **Description:** Add an optional description for site editors and authors to better understand the purpose and scope of the vocabulary.
    3. **Vocabulary language:** Select the language for the vocabulary.
    4. **Term language:** Select the **Default language** for taxonomy terms.
    5. **Content types:** Choose which content types can use the vocabulary. For example, select the **Person** content type for a vocabulary of terms describing different roles — **Staff**, **Faculty**, **Student**, **Visiting Scholar**.
    6. **Maximum number of terms that can be referenced:** Provide the number of terms from the vocabulary that can be assigned to a content item. We recommend keeping this set to **Unlimited**.
    7. **Place form component in Taxonomy sidebar group:** We recommend leaving the checkbox selected to include the new vocabulary with others in the Taxonomy section on content edit pages.
4. Click **Save** to save the new vocabulary.

### Step 2: Add taxonomy terms

1. Navigate to **Taxonomy** to see a list of vocabularies.
2. Select **Add terms** from the **Operations** menu of the vocabulary for the new terms.
3. Enter the following details for the new taxonomy term:
    1. **Name:** Provide the name of the term, for example, “Robotics” as a term for the “Research Topics” vocabulary.
    2. **Description:** Add an optional description for site editors and authors to better understand the purpose and scope of the term.
    3. **Relations:** We recommend not making changes to the **Relations** section and instead using the taxonomy management features described below to order and structure taxonomy vocabularies.
    4. **URL alias:** Taxonomy term URLs support term listing pages, for example, for all content items tagged with “Robotics”. These URLs are automatically generated based on the vocabulary structure, for example, /research-topics/robotics. To manually create a URL, deselect the **Generate automatic URL alias** checkbox and enter the URL in the **URL alias** field, for example, change the URL to just /robotics.
    5. **Published:** Deselect the **Published** checkbox to unpublish the term if needed.
4. Select the **Save and go to list** button to review the vocabulary **List** view and add additional terms to the vocabulary.
5. To add “child” terms to a taxonomy term, select **Add child** from the **Operations** menu and provide the details listed above.

### Step 3: Arrange taxonomy terms

1. From the vocabulary **List** page, review the listing view of all terms in the vocabulary.
2. To reorder vocabulary terms, use the **Drag** control at the start of each term item to reorder items in the list.
3. To restructure the vocabulary hierarchy, use the **Drag** icon to indent items in the list to indicate main and child terms.
4. Select the **Save** button when finished adding and arranging terms.
